Licensing and Data Analyst (Hybrid – Houston, TX or Lehi, UT)
Job Summary:
Our Home Protection team is seeking a meticulous and proactive Licensing and Data Analyst to manage and oversee the critical processes of applying for and maintaining state licenses for our company’s operations across the United States along with supporting overall partnership activities. The ideal candidate will be responsible for ensuring compliance with state-specific requirements and regulations to enable the company to operate legally and efficiently in multiple jurisdictions in order to ensure business operational continuity, while also analyzing strategic partnership activities such as claims activity and invoicing reconciliation.
Key Responsibilities:
- Research changes in federal and state laws, regulations, and policies that affect state specific licensing requirements across the United States to ensure the company is compliant with relevant regulations.
- Maintain accurate, detailed, and up-to-date records of all state licenses and monitor expiration dates to ensure timely renewals. This includes maintaining a comprehensive database of all licensing activities, including applications, renewals, correspondence with agencies, and any regulatory actions.
- Prepare, review, submit, and manage applications for new state licenses, renewals, and amendments for company operations across various states.
- Ensure all required forms, documents, and fees are correctly completed and submitted on time via mail, email, or online submission.
- Coordinate and collaborate with internal and external teams (Ethics and Compliance, Tax, Legal, Government Affairs, etc.) to gather necessary information and documentation, including financial reporting, to ensure compliance with state-specific requirements.
- Build and maintain strong working relationship with internal stakeholders, including C-Suite executives and corporate officers, to ensure open and succinct communication.
- Report weekly updates on the status of pending applications, renewals, and changes to licenses across all states where the company operates.
- Conduct monthly meeting with key business management representatives to provide updates on all pending license activities as well as pending changes to federal and state requirements.
- Proactively identify and address issues with state licensing agencies, including delays, discrepancies, missing information, and non-compliance matters to ensure the process is completed efficiently. Escalate complex or unresolved issues to senior management or external legal teams as needed.
- Act as business representative on trade group discussions related to pending changes in federal and state requirements.
- Build and maintain relationships with state regulators and licensing agencies to facilitate communication and resolve potential issues.
- Assist in preparing reports or audits regarding state licensing compliance.
- Develop and distribute internal guidance and reference materials, including state-specific regulatory changes and requirements.
- Participate in relevant continuing education to stay up to date on licensing regulations and best practices.
- Assist in the company’s growth and market expansion efforts by providing insights into states which may require specific licensing to operate.
- Advise management on state-specific licensing challenges, timelines, and costs.
- Evaluate and report on internal and external partner sales and claims activities to ensure SLAs are met.
- Conduct monthly invoicing reconciliation of assigned strategic partners.
- Maintain and evolve partnership dashboards and reporting frameworks to reflect current initiatives and performance metrics.
- Provide strategic support to growth and development team through time-sensitive analysis of new and existing business.
- Manage multiple high-priority initiatives, ensuring timely delivery of insights and alignment to business goals.
Working Conditions:
- Full-time position.
- Hybrid (office/work from home) role.
- Ability to travel as needed (quarterly at minimum).
- Prolonged periods sitting at a desk and working on a computer.
Minimum Requirements:
- High school diploma\GED certificate required. Bachelor’s degree in business administration, legal studies, or related field preferred.
- 2+ years of experience in state licensing, regulatory compliance, or a related administrative role.
- Excellent organizational skills with the ability to manage multiple applications and deadlines simultaneously.
- Detail-oriented with the ability to analyze and interpret state laws and regulations.
- Strong communication and interpersonal skills, with the ability to liaise effectively with regulatory agencies and internal teams.
Additional Knowledge, Skills, and Abilities:
- Experience interacting with, presenting to, and influencing the C-suite.
- Strong knowledge of state licensing requirements and processes across multiple states.
- Previous experience working in industries that require state licensing (e.g., insurance, finance, healthcare, or other regulated sectors) is a plus.
- Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint) and licensing management software.
- Ability to work independently and as part of a team in a fast-paced environment.
