Role Overview
The Executive Assistant provides high‑level, strategic administrative support to the Vice President of Energy Brand Strategy & Marketing. This role requires exceptional judgment, attention to detail, and proactive problem‑solving in a fast‑paced, consumer‑ and externally‑oriented environment.
The Executive Assistant serves as a trusted partner to the VP, enabling effective management of priorities spanning brand strategy, integrated marketing, go‑to‑market initiatives, external campaigns, agency partnerships, and cross‑functional leadership engagement. This position has high visibility and works closely with senior leaders across Growth, Communications, Digital, Customer Experience, Product, Sales, Regulatory, and External Affairs.
Key Responsibilities
- Provide proactive, executive‑level administrative support to the VP, ensuring seamless day‑to‑day operations and effective prioritization of competing deadlines.
- Manage and maintain a complex, dynamic calendar that includes internal leadership meetings, cross‑functional working sessions, agency reviews, and external engagements.
- Anticipate scheduling conflicts and proactively resolve issues, exercising sound judgment and discretion.
- Serve as a liaison between the VP and internal teams, external agencies, vendors, and strategic partners.
- Coordinate logistics for marketing reviews, brand strategy sessions, external meetings, offsites, and conferences.
- Support preparation for executive‑level and Board‑adjacent marketing or brand updates, as needed.
Meetings, Materials & Communications
- Prepare, edit, and format professional‑level presentations, briefing materials, and correspondence for executive and leadership audiences.
- Track action items and follow up on deliverables from leadership meetings and strategic discussions.
- Assist with report preparation, data compilation, and coordination of responses to internal requests related to brand and marketing initiatives.
Travel, Expenses & Administrative Operations
- Manage domestic travel arrangements and expense reporting in compliance with company policy.
- Coordinate document routing, approvals, and signature collection.
- Support budgeting, invoicing, and vendor coordination related to marketing and brand activities, as applicable.
- Handle highly sensitive, confidential, and time‑critical information with professionalism and discretion.
- Maintain awareness of corporate policies, brand governance standards, and compliance requirements related to marketing and external communications.
Other Duties
- Organize, prioritize, and coordinate multiple projects simultaneously while meeting tight deadlines.
- Perform other duties as assigned in support of business and brand objectives.
Qualifications
Education & Experience
- High school diploma or GED required; college degree or relevant certification preferred.
- Minimum of 8 years of administrative experience in a corporate environment.
- Minimum of 2 years of experience supporting executive‑level leadership (VP or above).
- Experience supporting marketing, brand, communications, growth, or externally facing leaders strongly preferred.
- Experience coordinating with external agencies or vendors is a plus.
Skills & Competencies
- Exceptional organizational, time management, and prioritization skills.
- Strong written, verbal, and interpersonal communication skills.
- Advanced proficiency in Microsoft Office Suite (Outlook, PowerPoint, Word, Excel).
- Experience with SAP, Concur, and related enterprise systems preferred.
- Ability to manage competing priorities from multiple stakeholders with professionalism and efficiency.
- Demonstrated judgment, maturity, and discretion.

- Willingness to work occasional overtime, evenings, or weekends as business needs require.
- Ability to meet deadlines with accuracy, speed, and professionalism.
Working Conditions
- Hybrid work schedule (in‑office and remote flexibility based on business needs).
- Frequent use of computer systems and digital collaboration tools.
- Minimal domestic travel; occasional support for external events may be required.
- Evening or weekend work may be required during major campaigns, launches, or peak periods.
