GenOn - Administrative Assistant

Summary:

The incumbent works independently to perform administrative and business support to the Cheswick and Brunot Island stations and reports directly to the Plant Manager.

 

Responsibilities:

  • Provides administrative support including composing, editing, typing and copying general business documents; preparing text, graphics and chart materials for use in correspondence, reports and presentations; and handling routine administrative tasks and questions.
  • Provides confidential handling of employee records and activities including maintaining employee records; tracking vacations and absences, timesheet entry, maintaining organizational chart, and staffing count.
  • Answers multi-line telephone, screen callers and assist or route appropriately.
  • Schedule appointments, coordinate meetings, schedule conference rooms, arrange catering and travel plans for staff.
  • Processes invoices, receipts and works with Accounts Payable regarding billing and payment.
  • Participates in and support departmental in special projects, committees, and /or task forces to accomplish assignments.
  • Any additional duties as assigned.

 

Minimum Requirements:

  • High school diploma or GED equivalent
  • Three (3) years of administrative or secretarial experience  
  • Must have mastery of basic math, English grammar and punctuation rules 
  • Must be proficient in Microsoft Office (including word, powerpoint, excel, access, outlook) and internet usage

 

Preferred Qualifications:

  • Certified Professional Secretary rating or one to two years of college

 

Skills:

  • Ability to work in a power plant environment with commetment to goals and objectives of the team.
  • Ability to analyze documentation to determine its priority and appropriate format.
  • ability to use proper professional telephone etiquette, proofread to facilitate oral and written communication with all levels of company personnel, vendors and customers.
  • Ability to maintain confidentiality at all times.
  • Ability to prioritize work, meet deadlines and concurrently manage multiple tasks.
  • Ability to answer inquiries and solve problems promptly and discretely.

 

Working Conditions:

  • Predominantly office environment, however occasional traversing of the plant to reach other staff offices may be required.
  • Overtime required as necessary
  • Requires standing, sitting, walking, kneeling, twisting
