Job Summary

The Administrative Supervisor role provides critical support to the VP/GM of multiple brands and carries out administrative functions effectively and efficiently.  Work independently, as well as part of a team, to perform a variety of confidential administrative duties for the organization, and the Leadership team. The role requires comprehensive experience, knowledge of administrative responsibilities and a broad understanding of company policies and procedures.  This position will manage other administrative team members.



Essential Duties/Responsibilities

  • Supervise one or more administrative team members within the organization, and provide guidance and direction as needed.
  • Uses and maintains technical and professional knowledge, shares that knowledge with others and recognizes/applies new technology in a cost-effective manner.

Administrative Support

  • Handle routine administrative questions, tasks and general office support requiring the use of independent judgment.
  • Schedule appointments and maintain the calendar/contacts of the VP/GM of the department.
  • Manage and monitor the status of action items for the VP/GM, his direct reports and support staff.
  • Book travel and manage calendar and expenses for VP/GM and direct reports.
  • Coordinate arrangements for presentations, special projects, luncheons, meetings, customer events, and travel.
  • Analyze and resolve office administrative and procedural problems, perform basic research and prepare reports and recommendations.
  • Organize own work, coordinate projects, set priorities, meet deadlines and follow up on assignments with minimal direction.
  • Support department and company employees in related teams, committees, and organizations to accomplish special projects, company, and department goals.
  • Schedule conference rooms and order office supplies and office equipment.
  • Assist with coordination of office moves, system access, and telephone changes which includes completion and submittal of appropriate paperwork and forms.
  • Assist with the onboarding process for new hires.
  • Pick up and deliver internal and external mail; send out mail when requested.
  • Approve time and expenses for VP/GM and his direct reports.
  • Track PTO to ensure accurate reporting for VP/GM and his direct reports.
  • Update internal records and org charts according to changes as they occur.


Accounting Support

  • Manage the procurement process in the creation of Purchase Requests (PR), Purchase Orders (PO), as well as the processing of invoices (Goods Receipt) and employee expense reports in SAP.
  • Provide SAP training for team members as needed.
  • Approve POs and vendor invoices (in coordination with departmental staff and managers).
  • Allocate PCard transactions in the system by the deadline using coding provided by team members.
  • Collect and maintain all receipts for PCard transactions for audit purposes.
  • Facilitate gathering accrual information for vendors as needed.
  • Troubleshoot payment issues.


Working Conditions

  • Open office environment.
  • Occasionally requires lifting as appropriate to perform duties and responsibilities.
  • Ability to lift boxes of moderate weight, bend, kneel, or sit at a computer for lengthy times. 
  • Occasional travel may be required for team meetings or events.


Minimum Requirements

  • High School Diploma or GED equivalent
  • Five (5) years or more of progressive administrative support experience
  • Proficient with MS Office (Outlook, Word, Excel, and PowerPoint).
  • Ability to handle a large variety of details and to work with all levels of the organization.
  • Use interpersonal skills, initiative and independent sound judgment within established policy and procedural guidelines when completing duties and responsibilities.
  • Excellent customer service skills.
  • Excellent communication (verbal, written) and presentation skills.


Preferred Qualifications

  • Two (2) years Associate’s degree from an accredited college or university or Certified Administrative Professional (IAAP) preferred.
  • Knowledge of SAP, Concur, Visio, and SharePoint helpful.
